What we're looking for
 
We are looking for an experienced and impeccably organized Senior Executive Assistant for our CEO. This person will have many years of experience supporting senior executives. This person will need to work on-site in Portland, ME
 
Who you are
 
You are experienced in partnering with senior executives and driving efficiency in how they operate. You are seen as both a productivity assistant and partner who uses good judgment and discretion. You are excellent at anticipating and realigning needs and priorities on an ongoing basis. You are a quick learner who can rapidly adapt to new technologies and operational modes.

As part of our early team you will

    • Be responsible for calendar management including planning meetings and long-range planning of calendar to ensure value on all engagements
    • Arrange complex and detailed travel plans, itineraries, and agendas and complete expense reports
    • Partner with leadership to coordinate and organize meetings and off-sites as needed
    • Support the execution of company-wide events
    • Support the CEO in task management, prioritization and meeting important deadlines
    • Compose and prepare correspondence regularly 
    • Provide a "gateway" while creating win-win situation for direct access to the executives' time
    • Work closely and effectively with the CEO to remain well informed of upcoming commitments and responsibilities, including key decisions and following up appropriately
    • Use proper judgment to determine the value of meetings to prioritize
    • Communicate directly, and on behalf of the CEO by managing the overall flow of communication to the organization and external parties as needed
    • Demonstrate leadership to maintain credibility, trust and support with senior management staff
    • Prioritize incoming communications (email, calls) while anticipating and communicating any required actions/deadlines (e.g., flagging emails as needed and/or responding appropriately when warranted and necessary to maintain the professionalism of the executive when he is unable to respond in a timely manner)
    • Support the CEO with additional work outside of Zus including board meetings for other companies, speaking engagements, personal obligations and events

You're a good fit because you have

    • 5+ years of relevant experience
    • Demonstrated experience supporting senior executives
    • Complete proficiency using Microsoft Office and GSuite 
    • The ability to learn new tools and technologies quickly
    • Experience maintaining schedules, calendaring meetings & preparing meeting agendas
    • A background in scheduling complex travel
    • The ability to multitask, prioritize assignments, ensure deadlines are met and work under pressure
    • Excellent verbal and written communication skills
    • A track record of being highly organized, detail oriented and able to meet deadlines in a fast-paced environment
    • Strong interpersonal skills to effectively build relationships and influence across the organization
    • The ability to display sensitivity, tact and responsiveness in various situations and maintain a high level of confidentiality
